Our team is seeking a highly experienced and awesome Administration & Finance Manager to join our team in Margaret River. Common Ground Trails is reshaping the world utilising trails to create outdoor enthusiasts. We love trails, riding bikes, and the outdoors! We work across planning, design & construction of trails and cycling facilities in both urban and natural spaces. Working primarily with State and Local Governments Australia wide, we are renowned for our high quality and high energy project execution.

Common Ground Trails requires another awesome team member to meet existing and growing demand for our services, and to help us implement and execute best practice financial and management systems and processes. As a key leader in the organisation, the Administration & Finance Manager reports to the Director and is required to lead and manage all financial and administration requirements. With one direct report and working intimately with the Director, Operations Manager, Marketing Manager and Bid Manager, you will have an open and friendly personality combined with a strong work ethic and can-do attitude.

Responsibilities include:

  • Bookkeeping duties including management of all functions of accounts payable and receivables, monthly reconciliations, payroll, financial reporting, BAS, Superannuation and cashflow management

  • Project assistance including project setup, reporting, procurement and client data management

  • Management of the Organisation’s funding, finance, reporting, budgeting, modelling and forecasting

  • Providing and completing information for the preparation of leads, quotes and tenders

  • IT and software implementation and management

  • Business improvement works including formulation and implementation of plans, policies, procedures and processes.

  • Business management including records management, assets register management and insurance schedules and claims

  • Prepare and present reports to key internal management - summarise and forecast business activity, income, expenses and earnings based on past, present and expected operations.

  • Collaborating with the leadership team on a range of operational, finance and administrative requirements including secretariat support

  • Provide consistent, high-level and thoughtful leadership to enable the organisation to grow and excel in activities and functions

KEY CRITERIA

Desired Skills and Experience

  • Substantial experience in a similar management level role within a growing organisation

  • Proven experience implementing and managing cloud-based ERP/JMS and CRM highly desirable

  • Experience within construction or professional services industry highly desirable

  • Proven experience and knowledge in finance, bookkeeping and administration

  • Exceptional knowledge and best practice usage of accounting and business software including Microsoft 360, Xero and Adobe Suite as a minimum

  • Strong understanding and/or passion for cycling and trails highly desirable

You will have the following key attributes:

  • Proven experience and tendency to want to create and improve systems and processes

  • Preference for structured work but with willingness and ability to be agile when required

  • Exceptional written and verbal communication and interpersonal skills

  • Very strong leadership, time management and organisational skills

  • Demonstrated ability to work to multiple and often competing priorities and deadlines effectively
